Sharing a list or a folder

Keep a shopping list or a folder of notes in step with the people you choose, each with their own Notelet Cloud account. Only the people in a share can open it: nobody else, and not us.

Coming in an update

Sharing is on its way in a later version of Notelet: the Notelet you can download today doesn’t share yet. This page says how it works, so an invitation makes sense when one comes. An invitation lasts 14 days; if yours runs out before your Notelet can accept it, ask for another. What’s new says when sharing is out.

Got an invitation?

The email names who invited you, by their Notelet Cloud address, and says whether it’s a list or a folder. It doesn’t name the list, carries nothing they wrote, and has no link that signs you in: nothing happens unless you accept it in Notelet.

  1. Open Notelet on your phone or computer, signed in to Notelet Cloud with the email address the invitation went to. No account yet? Make one with that address, in Notelet or on your account page: the invitation waits for it. A Notelet Cloud account is free.
  2. Notelet shows the invitation. Choose Accept, or Decline. Decline and Block also stops that person reaching you again.
  3. Once you’ve accepted, the person who shared it has to finish adding you: their Notelet does it by itself the next time it’s open. Until then, Notelet says it’s waiting for them. Then the list or folder appears among yours, on each of your devices.

Don’t know who sent it? Decline, and block them. Signed in with Apple and your address hidden? An invitation to your usual address won’t find your account, so the person can add you by your Notelet code instead: Notelet shows it as a QR code to scan, or as text to send.

What can be shared

  • A reminders list: its name, colour and icon, its sections, and its reminders with their subtasks.
  • A notes folder: its notes and their attachments, and the folders inside it.

A single note can’t be shared yet. Smart folders, smart lists and tags can’t be shared, as they’re views of your notes rather than places. A folder that holds a locked note can’t be shared either: a locked note opens only with its owner’s password.

A share is only ever for the people its owner names, by their email address or their Notelet code. There are no links that anyone can open, and no public pages.

Everyone in the share sees

  • Everything in the list or folder: each reminder and note, its words, dates, ticks, flags and attachments
  • Its name, colour and icon
  • Who’s in it: each person’s Notelet Cloud email address, the name they chose if they chose one, and whether they can edit or only view

What stays yours alone

  • The rest of your library: your other notes, lists and folders
  • Where the shared list or folder sits in your sidebar, whether it’s pinned, and which group a list is in
  • Your plan, your storage and your devices

Who can do what

  • Can edit: add, change, tick off and delete, and add attachments.
  • Can view: sees everything in it, and changes nothing.
  • The owner, who shared it: invites and removes people, says who can edit, and can stop sharing.

“Can view” is kept by Notelet Cloud, which turns a viewer’s changes away. Encryption can’t do that part: a viewer’s devices hold the share’s key, as everyone’s in it do.

Private, even from us

Each share has its own key, and only the devices of the people in it hold it. Notelet Cloud stores the share as it stores your own notes, encrypted on a device before it’s sent, and can’t open it.

One honest limit: a share is as private as the least protected person in it. With Standard protection, Notelet keeps a way back into that person’s library, and so into their shares; with Advanced protection, only their devices and their passphrase open them.

Leaving, removing, stopping

  • Leaving takes the share off all your devices. You can keep a copy of it in your own library first.
  • Removing someone stops their access at once, and the owner’s Notelet gives the share a new key for everything written after. What they saw before, they keep: nothing can take that back.
  • Stopping sharing: everyone else loses the list or folder, and the owner keeps it.

Whose storage it uses

A share counts against its owner’s Notelet Cloud storage, never the others’. Joining other people’s shares is free on every plan.

On Free you can own one share, text only, of up to 10 MB, which holds a great many reminders; Plus and Family own more, with attachments, in their own storage (pricing). Everyone in a share needs a Notelet Cloud account, even if you sync your own library through your own storage: the share lives on Notelet Cloud, and your library stays where it is.

If something’s wrong

You can leave a share whenever you like. Blocking someone stops their invitations reaching you, takes you out of the shares they own, and takes them out of yours. To tell us about a share or a person, write to hello@noteletapp.com.
